Field Read ("Field Read," "we," "us," or "our") is a qualitative feedback platform operated by [Company Legal Name], [registered address]. These Terms of Service ("Terms") govern your access to and use of fieldread.ai and all related services (the "Service").
By creating an account or using the Service, you agree to these Terms. If you do not agree, do not use the Service.
1. Who These Terms Apply To
These Terms apply to two distinct groups:
- Platform users — anyone who creates an account on fieldread.ai, whether as a workspace Owner, Full User, or Guest/Viewer. Platform users are subject to all sections of these Terms.
- Respondents — people who submit a response through a shared Question link without creating an account. Respondents are subject only to Section 7 (Respondent Submissions).
If you are using Field Read on behalf of an organization, you represent that you have the authority to bind that organization to these Terms, and "you" refers to that organization.
2. The Service
Field Read is a platform that enables platform users to:
- Create open-ended survey Questions with one or more Prompts
- Share a public link to collect anonymous written responses
- Generate AI-powered reports and summaries from collected responses
- Chat with an AI about collected responses, either within a single Question or across multiple tagged Questions (plan-dependent)
- Export reports and response data (plan-dependent)
- Collaborate with teammates or viewers within a shared Workspace (plan-dependent)
The specific features available to you depend on your plan. See Section 5 for plan details.
3. Accounts and Workspaces
3.1 Account Registration
To use Field Read as a platform user, you must create an account. You may register with a valid email address and password, or via a supported OAuth provider (currently Google). You agree to provide accurate, current, and complete information and to keep it updated.
You are responsible for maintaining the confidentiality of your credentials. You are responsible for all activity that occurs under your account. Notify us immediately at [support@fieldread.ai] if you suspect unauthorized access.
3.2 Workspaces
Every platform user operates within a Workspace. When you create an account, a Workspace is created for you automatically and you are its Owner.
Workspace Owners may invite other users depending on their plan:
- Pro — one additional Guest/Viewer seat
- Team — up to three Full User seats (shared workspace)
- Enterprise — custom seat configuration
As Workspace Owner, you are responsible for your Workspace, all users you invite, and all Questions and responses collected within it. You should only invite users you authorize to access your data.
3.3 Guest/Viewer Seats
A Guest/Viewer ("Guest") has read-only access to Questions the Workspace Owner shares with them. Guests cannot create Questions, run AI chat, generate or regenerate reports, or export data. Guest access is included on the Pro plan at no additional cost. One Guest seat per Pro Workspace; not stackable.
4. Acceptable Use
You agree not to use the Service to:
- Collect responses from individuals without their knowledge or where you lack the authority to do so
- Create Questions or Prompts that are deceptive, fraudulent, or designed to mislead respondents
- Collect sensitive personal data through Question Prompts unless you have appropriate legal basis to do so — including, but not limited to, health or medical data, financial account information, government ID numbers, passwords, or data belonging to children under 13 (or under 16 in the EU)
- Violate any applicable law, including data protection laws in jurisdictions where your respondents are located
- Attempt to reverse-engineer, disrupt, or gain unauthorized access to the Service or its underlying systems
- Scrape, crawl, or systematically extract data from the Service by automated means
- Resell or sublicense access to the Service without written authorization from Field Read
- Use the Service in any way that could damage, disable, overburden, or impair it
- Probe, scan, or test the vulnerability of any Field Read system or network
Field Read reserves the right to suspend or terminate accounts that violate these provisions, with or without notice, depending on severity.
5. Plans, Billing, and Payments
5.1 Plans and Quotas
Field Read offers the following plans. Quotas reset at the start of each billing period unless otherwise noted.

Report regeneration credits are per-question lifetime allowances — they do not reset monthly. Add-on purchases are available for capped plans (see Section 5.4).
Plan features, limits, and pricing are subject to change. We will provide at least 30 days' notice before increasing prices on paid plans.
5.2 Free Plan
The Free plan is offered at no charge and is subject to the limitations in the table above. Field Read may modify or discontinue the Free plan at any time with 30 days' notice. Free plan accounts inactive for 12 consecutive months may be deleted after notice to the email address on file.
5.3 Paid Plans — Billing and Renewal
Paid plans are billed monthly or annually in advance via our payment processor, Stripe. By subscribing, you authorize us to charge your payment method on a recurring basis until you cancel. Monthly plans renew on the same date each month; annual plans renew on the anniversary of your subscription start date.
All amounts are in USD. Prices are exclusive of applicable taxes, which will be calculated and added at checkout where required.
Cancellation: You may cancel your subscription at any time through your Workspace settings. Cancellation takes effect at the end of your current billing period. You retain access to paid features until that date; no partial-period refunds are issued.
Annual billing: Annual plans are offered at a discount (approximately 20% off the monthly rate). Annual subscriptions are not refundable after the payment is processed, except where required by law.
5.4 Add-Ons
The following add-ons are available on paid plans:
- Extra questions: $2 each (available on all paid plans)
- Extra cross-tag chat sessions: $3 each (Pro only)
- Extra report regenerations: $1 each (Free, Essentials, Pro)
Add-on purchases are non-refundable and do not roll over between billing periods (except per-question regeneration credits, which are lifetime and do not expire).
5.5 Failed Payments
If a payment fails, we will attempt to retry. If payment cannot be collected within 7 days of the failure, your account may be downgraded to the Free plan or suspended. We will notify you by email before downgrading.
5.6 Upgrades and Downgrades
When you upgrade mid-cycle, the price difference is prorated and charged immediately. When you downgrade, the change takes effect at the start of your next billing period; no credit is issued for unused time on the higher-tier plan.
5.7 Disputed Charges
If you believe you have been charged in error, contact us at [billing@fieldread.ai] within 30 days of the charge. We will investigate and respond within 10 business days.
6. AI Features
6.1 How AI Works
Field Read uses AI to generate analysis reports and to power conversational chat features. When you trigger a report or send a chat message, we send the relevant response text, your Question and Prompt text, and contextual metadata to an AI model. We currently use AWS Bedrock running models from Anthropic (Claude). See our Privacy Policy for details on data handling.
6.2 AI Output Is Not Professional Advice
AI-generated reports and chat responses are analytical summaries and exploratory tools. They are not professional, legal, medical, financial, psychological, or other licensed advice. Do not rely on AI output as a substitute for qualified professional judgment.
Field Read makes no warranty as to the accuracy, completeness, or fitness for any purpose of AI-generated content. AI models can produce errors, omissions, or hallucinations. You are responsible for reviewing AI output before acting on it.
6.3 Human Control
Report generation is always user-initiated. No report is generated automatically — you must click "Generate Report." We do not run background analysis on your responses without your action.
6.4 Rate Limiting
To protect system integrity, AI chat features are subject to rate limits:
- Free plan: 5 single-Question chat messages per hour
- Essentials plan: 20 single-Question chat messages per hour
- Pro and Team plans: no rate limit on single-Question chat
Rate limits are not a billing feature and do not accumulate or carry over. If you hit a limit, wait a short period and try again.
7. Respondent Submissions
7.1 Who Respondents Are
Respondents are people who receive a shared Question link and submit a response without creating a Field Read account. Respondents interact with the platform only on the /q/[id] page.
7.2 What Field Read Collects from Respondents
When a response is submitted, Field Read collects the response text, the IP address and user-agent of the device used to submit, and signals processed by Google reCAPTCHA v3 for bot detection. See our Privacy Policy Section 1 for details.
7.3 Platform Users' Responsibility for Respondents
If you collect responses from other people using Field Read, you (not Field Read) are the data controller for those respondents. You are responsible for:
- Ensuring you have a lawful basis to collect responses from your respondents
- Informing respondents about how their responses will be used, stored, and processed — including by AI
- Complying with applicable data protection laws in the jurisdictions where your respondents are located, including GDPR, CCPA/CPRA, and any other relevant regulations
- Not collecting sensitive categories of personal data (health, financial, biometric, etc.) through Prompts unless you have explicit legal authority to do so
Field Read processes respondent data as a data processor on your behalf. A Data Processing Addendum is available on request for paid plans.
7.4 Respondents' Rights
Because respondents do not create accounts and are not identified to Field Read, we cannot fulfill individual deletion requests for specific submissions. See our Privacy Policy Section 7 for a full explanation. Respondents can contact us at [privacy@fieldread.ai] with concerns.
8. Your Content
8.1 Ownership
You retain ownership of the Questions, Prompts, responses, and reports you create or collect through the Service ("Your Content"). Field Read does not claim ownership of Your Content.
8.2 License to Field Read
By using the Service, you grant Field Read a limited, non-exclusive, worldwide license to store, process, and transmit Your Content solely to operate and provide the Service to you. This includes transmitting relevant portions of Your Content to our AI sub-processors to generate reports and power chat features. This license ends when you delete the relevant content or close your account, subject to the retention periods in our Privacy Policy.
8.3 No Training
Field Read does not use Your Content to train AI models. Our AI infrastructure (AWS Bedrock) does not use customer inputs or outputs to train or improve foundation models by default. If this ever changes, we will notify you and update this section before the change takes effect.
8.4 Content Standards
You are responsible for Your Content. You agree not to create Questions or Prompts that:
- Are unlawful, defamatory, harassing, or abusive
- Infringe the intellectual property rights of any third party
- Are designed to elicit or store content that violates applicable law
- Contain malware, phishing content, or malicious code
Field Read may remove content that violates these standards without notice.
9. Intellectual Property
Field Read and its licensors retain all rights to the Service, including its software, design, trademarks, and documentation. Nothing in these Terms grants you ownership of or any rights in the Service beyond the limited right to use it as described here.
10. FERPA Notice
Field Read is a general-purpose qualitative feedback platform. Field Read is not FERPA-compliant and is not designed for use with protected student education records as defined under the Family Educational Rights and Privacy Act (20 U.S.C. § 1232g).
If you are an educator, administrator, or institution subject to FERPA, you must not use Field Read to collect, store, or process responses that constitute student education records. Field Read does not execute FERPA data handling agreements and does not offer the data governance controls required for FERPA-covered data.
11. Children's Privacy
The Service is not directed to children under 13 years of age (or under 16 in the EU). Do not use Field Read to collect responses from children under these ages. If you become aware that a child has submitted data through your Question, delete the Question or contact us at [privacy@fieldread.ai] promptly.
12. Disclaimer of Warranties
The Service is provided "as is" and "as available," without warranties of any kind, express or implied. To the fullest extent permitted by applicable law, Field Read disclaims all implied warranties, including merchantability, fitness for a particular purpose, non-infringement, and any warranties arising from a course of dealing or usage of trade.
Field Read does not warrant that:
- The Service will be uninterrupted, error-free, or secure
- Any defects will be corrected
- The Service or the servers that make it available are free of viruses or other harmful components
- AI-generated reports or chat responses are accurate or complete
13. Limitation of Liability
To the fullest extent permitted by applicable law, Field Read and its officers, directors, employees, and contractors will not be liable for any:
- Indirect, incidental, special, consequential, or punitive damages
- Loss of profits, revenue, data, goodwill, or business opportunities
- Damages arising from your reliance on AI-generated content
- Damages arising from unauthorized access to or alteration of your data
Field Read's total aggregate liability to you for any claims arising under or relating to these Terms or the Service will not exceed the greater of: (a) the amount you paid to Field Read in the 12 months immediately preceding the claim, or (b) $50 USD.
Some jurisdictions do not allow the exclusion or limitation of certain damages. In those jurisdictions, the above limitations apply to the fullest extent permitted by law.
14. Indemnification
You agree to indemnify, defend, and hold harmless Field Read and its officers, directors, employees, and contractors from any claims, damages, losses, and costs (including reasonable legal fees) arising from:
- Your use of the Service in violation of these Terms
- Your Content, including any claims by respondents or third parties relating to data you collected
- Your violation of any applicable law, including data protection laws
15. Termination
15.1 By You
You may close your account at any time through your account settings. On account closure, your data will be deleted in accordance with our Privacy Policy Section 6.
15.2 By Field Read
Field Read may suspend or terminate your account if:
- You violate these Terms or our Acceptable Use Policy (Section 4)
- You fail to pay fees due (Section 5.5)
- Required by law or court order
- We decide to discontinue the Service (see Section 15.3)
For serious violations (fraud, illegal activity, data security threats), we may terminate immediately without notice. For other violations, we will generally provide notice and an opportunity to cure before terminating.
15.3 Service Discontinuation
If Field Read discontinues the Service entirely, we will give at least 60 days' notice and provide a data export mechanism. Annual subscribers who are within their paid period at discontinuation will receive a prorated refund for the unused portion.
15.4 Effect of Termination
On termination, your right to use the Service ends immediately. Provisions that by their nature should survive — including Sections 8.1 (ownership), 9 (IP), 12 (warranty disclaimer), 13 (liability), 14 (indemnification), and 16 (governing law) — will survive termination.
16. Changes to These Terms
We may update these Terms from time to time. If we make material changes, we will notify you by email and post the updated Terms with a revised "Last updated" date. For material changes, we will provide at least 14 days' notice before the new Terms take effect for existing users. Your continued use of the Service after the effective date constitutes acceptance of the updated Terms.
If you do not accept the updated Terms, you may close your account before the effective date.
17. Governing Law and Disputes
These Terms are governed by the laws of [State], United States, without regard to conflict of law principles.
Any dispute arising from these Terms or the Service that cannot be resolved informally will be submitted to binding individual arbitration administered by [Arbitration Body] under its applicable rules, except that either party may seek injunctive or other equitable relief in a court of competent jurisdiction to protect intellectual property rights or prevent unauthorized use of the Service.
Class action waiver: You agree that disputes will be resolved only on an individual basis. You waive any right to bring or participate in a class action, collective action, or representative proceeding.
This Section does not apply to users in the EU or UK, where mandatory consumer protection laws may provide additional rights.
18. General
- Entire agreement. These Terms, together with our Privacy Policy, Cookie Policy, and any applicable plan-specific addenda, constitute the entire agreement between you and Field Read regarding the Service.
- Severability. If any provision of these Terms is found unenforceable, the remaining provisions remain in full force.
- No waiver. Our failure to enforce any provision of these Terms is not a waiver of our right to do so later.
- Assignment. You may not assign your rights under these Terms without our prior written consent. Field Read may assign these Terms in connection with a merger, acquisition, or sale of assets.
- Force majeure. Field Read is not liable for any failure to perform caused by circumstances beyond our reasonable control, including internet outages, third-party service failures, or acts of government.
